Getting started

First login, menu and quick access, phone, company structure and people’s cards, moving data from another CRM. · 10 articles

First steps in HelomiHelomi is a CRM for an online store or trading company: orders from marketplaces and websites become deals, the warehouse tracks stock and reservations, waybills are created from the deal, and finance, the cash register, documents, and AI employees are right alongside. This article is your first-day path: where everything is and what to set up, in order, so your company can start working; each step leads to a detailed article.

StructureStructure is a chart of your company: departments, the people and AI in them, and who reports to whom. From here, one click opens a person’s or AI’s card or a chat with them.

People: cards and profilesA person’s card is their profile for colleagues: who they are and what they do, education, years of experience, past jobs, skills, languages, and the company’s own fields, plus their wishes for AI employees. People fill in and edit their own card in “My profile” (everything saves automatically), the administrator does it in “Users,” and colleagues see it in “Structure” (only fields open to colleagues) and can call them in one click.

Pinned menu and “All sections”The Helomi left menu is short by default: 5–7 pinned items you use every day, and at the bottom “All sections” — a catalog of everything available to you, with search, departments, and counters. Which items are pinned at first depends on your role (manager, warehouse keeper, cashier, accountant, owner); after that, you pin and unpin anything in one click. This doesn’t change access: a section that isn’t visible in the menu opens from “All sections” and from the command palette.

Command paletteThe command palette is one place that holds all of Helomi: a section, record, action, settings page, or WIKI article is just one word away. Press Ctrl K (⌘ K on a Mac), “/” outside an input field, or the search circle in the header, type “deal,” “waybill,” “payment,” or a phone number — and Enter opens the record or runs the action. The palette doesn’t get in the way of people who don’t use it: all buttons on the pages stay where they are.

Quick access and the phone menuQuick access is your set of buttons for the pages you use most: on a computer it’s the bar below the work window (up to 10 buttons), on a phone it’s the bottom menu (up to 4 buttons). Any Helomi page can go on a button — a section, a card, a settings page, an AI employee’s console; the settings are personal, and each person has their own.

My menu“My menu” is the page where everyone sets up their own left menu: drag sections and departments around with the mouse, add your own departments, rename and delete them, hide sections you don’t use, and choose whether the handle of the collapsed menu follows the mouse. This makes the menu shorter only for you; your colleagues’ menus stay the same. Who is allowed what is decided by the administrator in “Settings” → “Sections”: there, a checkbox closes a section to a person completely.

Helomi on your phoneHelomi works on your phone in a browser or as an installed app: the same sections, data, and permissions as on a computer, but lists turn into cards, forms into full-screen sheets, and at the bottom there’s a menu with four of your buttons and “Menu.” There’s nothing to set up separately — pages adapt on their own to any width from 390 px.

No connection, errors, and “This page doesn’t exist”When the internet drops, the Helomi server goes quiet for a minute, or a page stops because of an error, Helomi doesn’t hang on “Loading…” — it shows a page explaining what happened and what to do, and checks the connection on its own. While you wait, you can play “Helomi Snake”: the logo unwinds into a snake and jumps over fines, inspection reports, and tax office demands. A broken link opens the “This page doesn’t exist” page with a way back to the main sections.

Import and exportXLSX import and export move data between Helomi, Excel, and another CRM: clients, deals, tasks, warehouse products, the price list, documents, and records of custom sections. The files are compatible with KeepinCRM templates, and you can fix an export file and upload it back — a match on the chosen field updates the existing record instead of creating a duplicate.
